HVAC Philadelphia Pro is committed to fair and transparent billing. This Refund Policy explains the conditions under which refunds may be issued for HVAC, plumbing, electrical, sewer, generator, and air quality services.
1. Service Deposits
Deposits may be required for large installations, system replacements, or scheduled project work.
- Cancellation 48+ hours before scheduled service: Full deposit refund, no questions asked.
- Cancellation 24–48 hours before scheduled service: Up to 50% of the deposit may be retained.
- Cancellation less than 24 hours before scheduled service: Deposit is non-refundable.
- No-show with no notice: Deposit is forfeited in full.
2. Completed Services
Once a service has been fully completed and the invoice signed, refunds are generally not issued. Exceptions are considered in the following cases:
- Billing or duplicate payment error: Full refund issued within 5–7 business days.
- Service not performed as quoted or agreed: Reviewed case-by-case; partial or full refund may be issued at management’s discretion.
- Unresolved warranty issue after two documented return visits: A partial or full refund may be offered as a resolution.
3. Equipment & Parts
- Unopened, undamaged parts in original packaging returned within 14 days: Full refund issued.
- Opened but uninstalled parts returned within 14 days: Up to 50% refund, subject to condition.
- Special-order parts and equipment: Non-refundable once ordered.
- Installed parts: Non-refundable; covered under manufacturer or workmanship warranty where applicable.
4. Maintenance Plans & Annual Service Agreements
- Cancellation within 30 days of enrollment: Full refund of plan fees.
- Cancellation between 31–60 days of enrollment: Pro-rata refund for unused months.
- Cancellation after 60 days: No refund for remaining unused plan period.
- If HVAC Philadelphia Pro discontinues a plan, a full pro-rata refund will be issued for the unused portion.
5. Non-Refundable Fees
- Emergency dispatch and call-out fees.
- Diagnostic and inspection fees.
- Permit fees paid to local authorities on your behalf.
- Trip charges for properties outside our standard service area.
6. How to Request a Refund
- Contact us at info@hvacphiladelphiapro.com within 30 days of your service date.
- Please have your invoice number, service address, and reason for the request ready.
- Approved refunds will be returned to the original payment method within 7–10 business days.
